Medical Record Scanning: What Are You Waiting For?
Friday, March 31, 2017We recently completed four medical record scanning jobs for a combination of physician offices and healthcare companies. We scanned patient files in manila folders containing multiple document types that, once digitized were released into our clients’ electronic medical/health record (EMR/EHR) systems.
The whole process is fast, doesn’t cost much and the benefits of having electronic medical records are legion. This got us thinking: what are you waiting for? There are government incentives and complete access to patient records helps ensure that your staff can provide the highest quality care.
EMR/EHR Incentives
If you accept Medicare and/or Medicaid, the federal government and the State of Florida want you to implement an EMR/EHR system. Federal government incentives are available if you’ve implemented EMR/EHR recently. Additionally, the State of Florida also offers “Meaningful Use” incentives for digitizing immunization records, cancer reporting and other patient files relating to public health initiatives.
Feeding EMR/EHR
The purpose of scanning medical records is to make them available within your EMR/EHR system. You have three choices for medical record scanning:
- Do-It-Yourself: we can set you up with scanners and capture software so that your team can scan your medical records all at once or on an as-needed basis; a word of caution: many have tried to do this with their MFP and hiring a temp – this can take a long time and the vast majority of MFPs are not robust enough to handle a large volume of scanning, not to mention the headache caused by tying up your MFP all day
- Onsite Scanning: our team comes onsite with scanners and capture software to scan all or a portion of your backfile – this is more cost-effective than DIY
- Offsite Scanning: we scan all of your medical records at our Tampa or Orlando service bureaus – this is more cost-effective than onsite scanning, allows for real/near-time access to patient files, preserves chain of custody, and ensures that your records are completely secure
Document Management Software
If your EMR/EHR system does not include document management software and you find it difficult to retrieve scanned medical records, we can implement a third-party solution that integrates with your system so that users can instantly find documents directly within your EMR/EHR interface. This can be done in such a transparent manner that users won’t even know that the document management software governs these records behind the scenes.
Medical Record Scanning Tesimonial
We recently received the following letter from one of our medical record scanning clients:
“I am writing to let you know how pleased we have been with the performance of LaKeshia while working on our on-site project at our Tampa location. She has been professional, courteous, and diligent. Her attention to detail is superb, and her continuous communication regarding the status of the project has been tremendously helpful to us as we plan our company strategy with the FDA moving forward. Moreover, she has a smile and a kind word for all who work here each time she arrives. We will recommend your company to others because of our satisfaction with your service, and, in particular, the outstanding service delivered by LaKeshia and her supervisor.”
HR & Invoices
Once your medical records are scanned, we recommend that you at least consider having us scan your personnel files and accounts payable (AP) invoices. As with medical records, digitizing legacy records helps preserve them, makes them available to your staff anywhere with an internet connection and streamlines work processes, especially when combined with workflow automation software.
