Burn the paper trail, go digital
Wednesday, October 10, 2012While literally burning paperwork is probably a bad idea, eliminating paperwork is a goal that all businesses are beginning to appreciate. Guy Boran, president of Boran Technologies, told TechTarget that "everyone is sick and tired of paper," but the thing that most businesses need to focus on is the how, not the why, of going paperless.
With email, the cloud and advances in computing, the reasons why paperwork is becoming obsolete are obvious. Businesses are finding that they can operate without faxes, memos and interoffice mail better than ever before, and this is just the start of paperwork elimination. However, the right solutions are necessary to accomplish these goals.
For a business, going paperless is a nice idea, but it requires clients, suppliers, partners and other companies to stop sending or requesting paper as well. This simply isn't conducive for getting rid of that paper. However, with the right document management solution in place, these challenges can be overcome.
According to the news source, the first step in going paperless is being able to scan, then shred any real paperwork, removing paper from workflow at the start. This provides a business with a paper-free environment immediately, and establishes a basis for continued paperless operation. Once this step is taken, the process becomes a matter of maintenance. A business simply has to remain vigilant, getting rid of paper as soon as it arrives, rather than allowing it to build up again.
Another issue that can plague a business when attempting to implement a document management solution is the presence of archives and older files. Going through older records and committing them all to electronic systems can be a painful process. However, with a document conversion service, a business can eliminate this struggle and streamline its efforts even further.
